We will cover how to export the desired data from the documents you have uploaded.<\/p>\n<h2><a id=\"post-16558-_Toc29973654\"><\/a><a id=\"post-16558-_Toc30061703\"><\/a><a id=\"post-16558-_Toc7509830\"><\/a><a id=\"post-16558-_Toc8652626\"><\/a><a id=\"post-16558-_Toc35969469\"><\/a><a id=\"post-16558-_Toc7006352\"><\/a>Prerequisites<\/h2>\n<p>To complete this tutorial, download the <a href=\"https:\/\/docshield.kofax.com\/Transact\/en_US\/current\/tutorial\/TutorialImages.zip\">Tutorial Helper<\/a>. This includes the following files:<\/p>\n<ul>\n<li>Tutorial images<\/li>\n<li>Three files for batch instance processing:\n<ul>\n<li>W-2.pdf<\/li>\n<li>Insurance Form.tif<\/li>\n<li>Bank Statement.pdf<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<h2><a id=\"post-16558-_Toc35969470\"><\/a>Essential Operations in Ephesoft Transact<\/h2>\n<p>The following sections outline the basic processes to set up a workflow in Ephesoft Transact.<\/p>\n<h3><a id=\"post-16558-_Toc35969471\"><\/a>Creating a Batch Class<\/h3>\n<p>In Ephesoft Transact, a <strong>Batch Class<\/strong> is a collection of document types, index fields, extraction rules and workflow processes that are used to capture data from uploaded documents. To create a batch class, follow the below instructions.<\/p>\n<ol>\n<li>Enter the following URL to navigate to the Ephesoft Transact home screen:<strong><br \/>\nhttp:\/\/&lt;<em>Server-Name<\/em>&gt;:8080\/dcma<\/strong><\/li>\n<li>Click <strong>Administrator<\/strong> &gt; <strong>Batch Class Management<\/strong>.<\/li>\n<li>Log in with your user credentials.<\/li>\n<li>Click <strong>Add<\/strong>.<\/li>\n<li>The following fields display on the <strong>Add Batch Class <\/strong>screen:<\/li>\n<\/ol>\n<table>\n<tbody>\n<tr>\n<td>Field<\/td>\n<td>Description<\/td>\n<\/tr>\n<tr>\n<td>Name<\/td>\n<td>Title your batch class. If multiple words are needed, ensure no spaces are used. Each batch class name must be unique.<\/td>\n<\/tr>\n<tr>\n<td>Description<\/td>\n<td>Create a description for the batch class. Spaces are allowed.<\/td>\n<\/tr>\n<tr>\n<td>Priority<\/td>\n<td>Set the priority level for this batch class. Each document type uses an algorithm to classify and organize files into pre-configured categories, based on commonalities between those documents.<\/p>\n<h4><a id=\"post-16558-_Toc35969473\"><\/a>Creating a Document Type<\/h4>\n<p>To create a document type, follow the instructions below.<\/p>\n<ol>\n<li>Navigate to the <strong>Batch Class Management<\/strong> screen.<\/li>\n<li>Double-click the <strong>FinancialDocumentTutorial<\/strong> batch class to open it. Alternatively, highlight the batch class name and click <strong>Open.<\/strong><\/li>\n<li>Click the <strong>Document Types <\/strong>folder.<\/li>\n<li>Click <strong>Doc Type <\/strong>&gt;<strong> Create New<\/strong>, located in the top toolbar. A new document type row will be added. Enter a name and description. For this example, use the following:<\/li>\n<\/ol>\n<p style=\"padding-left: 80px\"><strong>Name:<\/strong> W-2<\/p>\n<p style=\"padding-left: 80px\"><strong>Description:<\/strong> W-2<\/p>\n<p style=\"padding-left: 40px\"><strong>Note:<\/strong> As a best practice, document type names should not include any spaces.<\/p>\n<ol start=\"5\">\n<li>Click <strong>Apply<\/strong> to save the document type.<\/li>\n<li>Repeat steps 2-4 to create two more document types for <strong>Insurance Forms<\/strong> and <strong>Bank Statements<\/strong>.<\/li>\n<\/ol>\n<h4><a id=\"post-16558-_Toc35969474\"><\/a>Training the Document Type<\/h4>\n<p>Once the Document Type is created, it can be trained to recognize similar documents with a representative set of files.<\/p>\n<ol>\n<li>Select the <strong>W-2 <\/strong>document type created in section 2.1.<\/li>\n<li>Drag the <strong>W-2 <\/strong>sample file into the <strong>Upload Learn File(s)<\/strong> section. This action will prompt the document type to distinguish W-2 files from other documents.<\/li>\n<li>Repeat steps 1-2 for the <strong>Insurance Form.pdf<\/strong> and <strong>Bank Statement.pdf <\/strong>files for their respective document types.<\/li>\n<\/ol>\n<h4><a id=\"post-16558-_Toc35969475\"><\/a>Test Classification<\/h4>\n<p>The <strong>Test Classification<\/strong> feature ensures each document type is properly trained to classify and separate multiple pages or multiple documents within a single uploaded file. To test Document Types, follow the steps below.<\/p>\n<ol>\n<li>Drag all three sets of files into the <strong>Upload Test Classification File(s)<\/strong> section.<\/li>\n<li>Click <strong>Test Classification<\/strong>. A screen that provides the classification results displays.<\/li>\n<li>Click the <strong>Classify<\/strong> button.<\/li>\n<li>Review the results to verify that each document type has been separated correctly. Click <strong>Close<\/strong> to exit the classification testing interface.<\/li>\n<\/ol>\n<p>This completes document type setup and configuration. Continue to <a href=\"#post-16558-_Creating_Index_Fields\">Creating Index Fields<\/a> to create Index Fields for document data capture.<\/p>\n<h3><a id=\"post-16558-_Creating_Index_Fields\"><\/a><a id=\"post-16558-_Toc35969476\"><\/a>Creating Index Fields<\/h3>\n<p>Once the document types have been successfully trained, the next step is to create index fields to extract data from uploaded documents. For simplicity, the following instructions will focus on the W-2 document type.<\/p>\n<ol>\n<li>Navigate to <strong>Batch Class Management<\/strong>. Select the <strong>FinancialDocumentTutorial<\/strong> batch class.<\/li>\n<li>Expand the <strong>Document Types<\/strong> tree to display all three categories. Expand the <strong>W-2<\/strong> document type and select <strong>Index Fields<\/strong>.<\/li>\n<li>Click <strong>Add<\/strong> to insert a new index field row, and complete the fields below:<\/li>\n<\/ol>\n<p style=\"padding-left: 80px\"><strong>Name:<\/strong> EmployeeNames<\/p>\n<p style=\"padding-left: 80px\"><strong>Description:<\/strong> Employee Names<\/p>\n<ol start=\"4\">\n<li>Under the <strong>Additional Configurations<\/strong> column, expand the drop-down menu for your selected index field and check <strong>Force Validation<\/strong> to ensure the data is reviewed in the validation screen.<\/li>\n<\/ol>\n<p style=\"padding-left: 40px\"><strong>Note:<\/strong> Selecting <strong>Force Validation<\/strong> is recommended here for demo purposes. In production, this is typically left unchecked unless there is a field that an operator must review on every document.<\/p>\n<ol start=\"5\">\n<li>Click <strong>Apply<\/strong> to save the index field row.<\/li>\n<li>Click <strong>Add<\/strong> to insert a second row, and complete the fields below:<\/li>\n<\/ol>\n<p style=\"padding-left: 80px\"><strong>Name: <\/strong>SSN<\/p>\n<p style=\"padding-left: 80px\"><strong>Description: <\/strong>Social Security Number<\/p>\n<ol start=\"7\">\n<li>Click <strong>Apply<\/strong> to save the index field row.<\/li>\n<li>Repeat steps 2-7 to create the same index fields for the <strong>Insurance Form<\/strong> and <strong>Bank Statement<\/strong>.<\/li>\n<\/ol>\n<p>The index field is now ready for key-value extraction rules.<\/p>\n<h3><a id=\"post-16558-_Toc35969477\"><\/a>Key-Value Extraction Rules<\/h3>\n<p>Once index fields are generated, the next step is to create an extraction rule to populate those fields defined within Ephesoft Transact with the data extracted from each page within a document. The key-value (KV) extraction rule is the most common way to build out extraction logic, but there are other extraction rule types that can be created.<\/p>\n<h4><a id=\"post-16558-_Toc35969478\"><\/a>Creating and Defining a KV Extraction Rule<\/h4>\n<p>Follow the steps below to create a KV Extraction Rule and define the data to be extracted.<\/p>\n<ol>\n<li>Navigate to <strong>Batch Class Management<\/strong>. Select the <strong>FinancialDocumentTutorial<\/strong> batch class.<\/li>\n<li>On the left drop-down menu, expand <strong>Document Types<\/strong> to display all three document type categories. KV Extraction Rule<\/em><\/p>\n<ol start=\"4\">\n<li>On the top menu bar, click <strong>Add<\/strong> to create a new key-value extraction rule.<\/li>\n<li>Locate the <strong>W-2.pdf<\/strong> file included in the <strong>TutorialImages.zip<\/strong> file. Build Relationship Between Key and Value<\/em><\/p>\n<p style=\"padding-left: 40px\"><strong>Note:<\/strong> Steps 7-11 define the KV extraction rule using automatic data recognition in Ephesoft Transact. This is the simplest method. The <strong>Value<\/strong> field requires a visual pattern to identify for the key. A new panel displays below the document with the extracted values.<\/li>\n<li>Click <strong>Apply KV<\/strong> to save the extraction rule.<\/li>\n<li>Click <strong>Apply<\/strong> to commit the extraction rule to the SSN index field.<\/li>\n<\/ol>\n<p>The index field now has a KV extraction rule to reference when processing a batch class. The next step is setting up the export module.<\/p>\n<h3><a id=\"post-16558-_Toc35969479\"><\/a>Export Setup<\/h3>\n<p>Ephesoft Transact processes batches of documents simultaneously in the form of batch instances. Users can configure batch classes to export the documents and extracted data to a specified destination.<\/p>\n<p>Complete the following instructions to set up the <strong>Export<\/strong> module.<\/p>\n<ol>\n<li>Navigate to <strong>Batch Class Management<\/strong>. Select the <strong>FinancialDocumentTutorial<\/strong> batch class as created in step 1.<\/li>\n<li>On the left drop-down menu, expand <strong>Modules<\/strong>.<\/li>\n<li>Expand the <strong>Export<\/strong> folder and select the <strong>COPY_BATCH_XML <\/strong>plugin. This plugin is responsible for exporting structured XML files and PDF images to a specified network or local path folder.<\/li>\n<li>In the <strong>Export Document File Name <\/strong>field, enter the following to add the document type to the PDF file export:<strong> $DOCUMENT_TYPE &amp; _ &amp; $BATCH_IDENTIFIER &amp; _ &amp; $DOCUMENT_ID<\/strong><\/li>\n<li>Select <strong>Apply<\/strong> &gt; <strong>Deploy<\/strong>.<\/li>\n<li>Select <strong>Close<\/strong> to exit the <strong>Plugin Configuration<\/strong> screen.<\/li>\n<\/ol>\n<p>This completes setup of the <strong>Export<\/strong> module. The <strong>FinancialDocumentTutorial<\/strong> batch class is now configured and ready to process documents.<\/p>\n<h3><a id=\"post-16558-_Toc35969480\"><\/a>Running and Validating a Batch Instance<\/h3>\n<p>There are numerous methods to run documents through batch class configurations for data capture. The following describes one of the simplest methods, which uses the <strong>Upload Batch<\/strong> screen.<\/p>\n<h4><a id=\"post-16558-_Toc35969481\"><\/a>Running a Batch<\/h4>\n<ol>\n<li>Hover over the left-hand navigation panel.
